 Office Manager
New position
Reports to Rector
Compensation: Based on qualifications and experience
Benefits: Workers’ compensation insurance, as provided by State law; pension as per Diocesan guidelines;
offer of medical insurance based on plan requirements
20 Hours [schedule below] Part Time
Start Date:  January 2, 2020
 
Position Summary:
Manage the Day to Day operations of the Parish office, coordinate necessary communications with other staff pertaining to Financial Operations, Facilities and Property Management, and assist the Rector and other staff as requested.
• Typical weekly schedule but may change due to Parish needs:
Monday-9-12pm
Tuesday-9-12pm
Wednesday-9-3pm
Thursday-9-3pm
Friday-9-12pm
 
Specific Responsibilities:
Office Management:
• Daily Operation of Parish Office as per agreed schedule with the rector.
   Parish office hours are currently M-Th 9-4pm.
• Answer phone, take messages, sort, and distribute mail for clergy and staff
• Greet visitors, answer questions, give a tour(s), and direct them to proper person to help
• Coordinates appointment calendar of Rector, as required
• Preparation of correspondence of Rector and various committee members
• Order and maintain office supply inventory (ink, batteries, paper, etc)
• Type, print, stuff all mailings
• Record keeping for all vendors, files for LEMS, Safe Church, Insurance, Annual reports, etc.
• Maintains Building Use Calendar, coordinates with Facilities Manager
• Prepares New Vestry Binders
• Prepares New Member Binders
• Maintains Personnel Files
 
Communications:
• Facilitates materials for preparation of the “Weekly” newsletter and prints the “Weekly” and “Spirit” newsletters.
• Oversees preparation and arrangement of mailings
• Prepares and e-mails schedules and reminders as needed.
• Prepares the Calendar for the website
• Advises Webmaster of items in need of updating, if needed.
• Administration assistance for Rector, correspondence, calendar of appointments, etc.
 
Computer / Data Operation:
• Oversees necessary office equipment and software upgrades
• Manages the computer and wireless network.
• Maintains of Parish Records
• In coordination with other qualified staff and contract resources, manage upgrading of computer capabilities
 
Financial Operations:
• Provides oversight of Parish Accountant
 
Worship Support
• Coordinates with Music Ministry personnel, Altar Guild, Flower Guild, and Clergy to prepare of Sunday bulletins and Special event bulletins
• Coordinates Weddings and Funerals with clergy, including wedding and funeral bulletins
• Gather all required information from Clergy, Organist, and Worship Band Director in conjunction from liturgical resources to create bulletins for 3 worship services.
• Create Powerpoint AV slides for 10:45 service
 
Property Management
• Assist Facility Manager to coordinate contractors and repairmen
• Provides oversight of Facility Manager
• Assist with communication with prospective users of facility
• Manage document retention for written contracts with building users and vendors.
• Interfaces with Property Committee as needed.
• Retains proper insurance certifications for building usage.
 
Parish Management
• Prepares Annual Report each year coordinating with staff and ministry leaders
• Maintenance of Parish records; Prepares the Annual Parochial Report regarding parish activity statistics, fiscal portions as indicated, and submits to the Diocese
• Attends Vestry meetings upon request.
• Substitute Clerk of the Vestry upon request
• Works closely with Stewardship Chair regarding current pledge campaign
• Attends staff meetings
• Distributes appropriate schedules of volunteer functions in parish
• Other duties as assigned by Rector.
 
Qualifications:
• One year equivalent skills for Office Management
• Computer Skills
    o Microsoft Office (Word, Excel, PowerPoint, Outlook),
    o Knowledgeable of Apple products
    o ACS Parish Management System,
    o Rite Stuff
    o Network Management.
• Demonstrated behavior of Developed and committed Faith
• High degree of flexibility, ability to multi-task, and detail-oriented.
• Outstanding ability to deal with all sorts and conditions of God’s children
 
 
 
 Parish Accountant

Position Summary:
Perform weekly accounting duties for the Parish and coordinate necessary financial information with other staff pertaining to Financial Operations.
          • Typical weekly schedule but may change due to Parish needs:

Regular meetings with staff, Treasurer and Rector
 
Specific Responsibilities:
         • Direct financial activities performed by bookkeeping services firm and liaise with them on any issues.
         • Review bills and submit for payment
         • Review expense forms and pass-through requests
         • Manage contracts such as copier, etc.
         • Manage Parish credit card account
         • Administer payroll and liaise with pension and health insurance services providers
         • Manage all facility and parish insurance policies (e.g., liability, certificate of insurance)
         • Draft financial portion of annual parochial report
         • Act as Assistant Treasurer for the St. James’ Foundation: attend meetings, record all funding requests, and                 prepare quarterly requests for Hazel Smith ‘sleeve’
        • Request and assist in annual audits and submit final report to the Diocese
        • Assist with annual stewardship campaign
        • Liaise with Women of St. James’
        • Review monthly reports (budget and actual) for ministry areas, assuring all items are in the right accounts
        • Authorized signatory for parish checking accounts
        • Review budgets and provide guidance to staff to keep on target
        • Provide periodic backup to answer phones and work at Administrator desk
        • Maintain electronic and hardcopy records of financial statements.
       • Maintain records of Parish physical assets
 
Qualifications:
• One year equivalent skills for Office Management
• Computer Skills
o Microsoft Office (Word, Excel, PowerPoint, Outlook),
o Knowledgeable of Apple products
o Financial accounting software package experience preferred
• Ability to read and explain standard financial statements
• Experience in budget preparation, preferred
• Demonstrated behavior of Developed and committed Faith
• High degree of flexibility, ability to multi-task, and detail-oriented.
• Outstanding ability to deal with all sorts and conditions of God’s children
